Last updated: 19 June 2026. This policy explains how BuzBill collects, uses, shares, protects and retains personal data across its website, demo requests, POS software, apps, support channels and related services.
1. Who we are
BuzBill is a POS, billing and restaurant-management software platform operated by the legal entity listed on our Corporate Information page. In this Privacy Policy, “BuzBill”, “Company”, “we”, “our” and “us” refer to that operating entity. “You” and “your” refer to website visitors, restaurant owners, business customers, authorised users, staff users and other individuals interacting with BuzBill.
2. Applicability
This Privacy Policy applies to buzbill.com, BuzBill web dashboards, mobile applications, POS software, demo and enquiry forms, onboarding, training, support, billing communication, integrations, APIs and any other service where this policy is linked. It does not apply to third-party websites, payment gateways, WhatsApp, SMS providers, accounting tools, marketplace apps or delivery/ordering partners that operate under their own privacy policies.
3. Personal data we collect
Depending on how you interact with BuzBill, we may collect the following categories of information:

| Billing and payment data | Invoices, payment status, transaction references, subscription history and limited payment information received from payment gateways. We do not store card numbers unless a certified payment provider enables tokenised storage. |
| Support data | Messages, call notes, screenshots, attachments, remote troubleshooting details, feedback, complaints and training requests. |
4. How we collect data
We collect data directly from you, from your authorised users, through your use of BuzBill, through forms on our website, through support channels, through cookies and similar technologies, and from service providers such as payment gateways, communication tools, hosting providers, analytics tools or integration partners.
5. How we use personal data
- To respond to enquiries, schedule demos and communicate about BuzBill products and services.
- To create, configure, operate and support customer accounts, outlets, users and subscriptions.
- To provide POS billing, KOT, reporting, inventory, CRM, WhatsApp bill sharing, online ordering and other selected features.
- To process payments, generate invoices, manage renewals, verify transactions and maintain business records.
- To provide onboarding, migration, training, troubleshooting, product updates and customer support.
- To secure the platform, prevent misuse, investigate errors, enforce access controls and maintain audit logs.
- To improve product performance, user experience, reliability, analytics and feature design.
- To comply with applicable legal, tax, accounting, regulatory, dispute-resolution and enforcement obligations.
6. Customer data and end-customer data
When a business customer uses BuzBill to store restaurant billing, staff, inventory, supplier or end-customer information, the business customer is responsible for ensuring that it has the right notices, consents, permissions and legal basis required to collect and use that data. BuzBill processes such operational data to provide the contracted services, maintain security, provide support and meet legal obligations. Customers should not upload information that is not required for running their business on BuzBill.
7. Consent and communication
By submitting a form, requesting a demo, creating an account, signing an order form or using BuzBill, you authorise us to contact you by phone, WhatsApp, SMS, email, in-app notification or other business communication channels for service, support, onboarding, billing, security and product-related communication. Promotional communication may be stopped using unsubscribe or opt-out options where available, but service and transaction messages may continue as necessary.
8. Cookies and analytics
We may use cookies, local storage, pixels or similar technologies to keep the website functional, remember preferences, understand page performance, measure campaigns, prevent abuse and improve user experience. You can control cookies through your browser settings, but some parts of the website or app may not work correctly if required cookies are blocked.
9. Sharing of data
We do not sell personal data. We may share data only where required for legitimate business or legal purposes, including with hosting providers, cloud infrastructure providers, payment gateways, SMS/WhatsApp/email providers, CRM/support tools, analytics tools, implementation partners, auditors, professional advisers, law-enforcement agencies, regulators or courts. Service providers are expected to process data only for the agreed purpose and to use appropriate security measures.
10. Third-party services and integrations
BuzBill may integrate with third-party services such as payment gateways, WhatsApp Business providers, SMS gateways, accounting software, delivery/order platforms, online menu tools or hardware providers. Your use of those services may be governed by their own terms and privacy policies. BuzBill is not responsible for independent processing carried out by third parties outside our control.
11. Data retention
We retain personal data for as long as needed to provide services, maintain accounts, resolve disputes, meet contractual and legal obligations, prevent fraud, generate records, enforce agreements and support legitimate business purposes. Website lead data may be retained for up to 24 months unless a longer relationship or legal requirement exists. Subscription, invoice, tax and accounting records may be retained for the period required under applicable law. Customer operational data may be deleted, exported or retained according to the subscription, support requirement, backup cycle, legal obligation and account-closure process.
12. Security
We use reasonable technical and organisational safeguards appropriate to the nature of the data, including access controls, role-based permissions, secure hosting practices, encryption in transit, monitoring, backups where applicable, staff access restrictions and incident-response processes. No digital system can be guaranteed to be completely secure. Customers should use strong passwords, restrict admin access, review staff roles and immediately report suspicious activity.
13. Your rights and choices
Subject to applicable law, you may request access to your personal data, correction of inaccurate data, deletion of data, withdrawal of consent, restriction of processing, portability where applicable, grievance redressal or information about how your data is processed. Some requests may be limited where retention is required for legal, tax, security, dispute-resolution or contractual reasons.

15. Children
BuzBill is a business software product and is not intended for use by children or minors. Customers should not create staff accounts for minors or upload children’s personal data unless they have a lawful basis and all required permissions under applicable law.
16. International processing
Depending on hosting, support and service-provider arrangements, data may be processed in India or other jurisdictions. Where cross-border processing is involved, we take steps required by applicable law and contractually require relevant service providers to protect the data they process for us.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date. Continued use of BuzBill after an update means you accept the updated policy to the extent permitted by applicable law.
